Cookie Policy

This policy explains the cookies and similar technologies Novexhire uses on novexhire.com and in the Novexhire application, what each category does, and how to turn the optional ones off. Strictly necessary cookies keep you signed in and keep the site secure, and they cannot be disabled. Everything else is off by default until you choose otherwise in our preference center, and you can change your mind at any time.
01What Cookies and Similar Technologies Are
A cookie is a small text file that a website stores on your device so it can recognize your browser on a later request. Similar technologies do the same job by other means: local storage and session storage keep data in the browser, pixels and tracking tags load a tiny resource that records an event, and software development kits do the equivalent inside a mobile app. Throughout this policy, "cookies" covers all of them.
Cookies set by novexhire.com are first party cookies. Cookies set by another domain loaded on our pages, such as a video player or an advertising platform, are third party cookies. Both kinds are covered here.
This policy sits alongside our Privacy Policy, which explains what we do with personal data more broadly, including the candidate data our AI agents process.
02Strictly Necessary Cookies
These cookies make the site and the application work. Without them you cannot sign in, submit a form, complete an interview, or be protected against cross-site request forgery. Because they are essential to a service you have asked for, we set them without consent and they cannot be switched off in the preference center. Blocking them in your browser will break core functionality.
They contain session identifiers, security tokens, and load balancing hints. They do not build a profile of you and they are not used for advertising.
- nvx_session: keeps you signed in to your workspace. Session cookie, expires when the browser closes or after 12 hours of inactivity.
- nvx_csrf: protects forms and API calls against cross-site request forgery. Session cookie.
- nvx_lb: routes your requests to the correct application server. Session cookie.
- nvx_consent: stores your cookie choices so we do not ask again on every visit. 12 months.
- nvx_interview_state: preserves progress through a Nova Recruiter interview so a dropped connection does not lose your answers. Expires 4 hours after the interview ends.
03Functional Cookies
Functional cookies remember choices you make so the product feels consistent between visits. They are optional. If you decline them the site still works, but it will forget preferences such as your language or which panels you collapsed.
We treat accessibility preferences as functional rather than necessary, so declining this category means resetting them each session.
- nvx_locale: remembers your selected language and region formatting. 12 months.
- nvx_theme: remembers light or dark appearance. 12 months.
- nvx_ui_state: remembers layout choices such as saved filters and collapsed sidebars. 6 months.
- nvx_a11y: remembers accessibility settings such as reduced motion, captions on by default, and increased text size. 12 months.
- nvx_support: allows the in-product support widget to keep a conversation open across pages. 30 days.
04Analytics Cookies
Analytics cookies tell us which pages people read, where they get stuck, and which features go unused. We use that to fix confusing flows and to prioritize product work. They are optional and off until you accept them.
Our product analytics run on a first party subdomain, IP addresses are truncated before storage, and we do not combine analytics data with candidate interview content. We do not use analytics cookies on candidate interview or screening pages at all.
Aggregated analytics reports are retained for 26 months. Raw event data is deleted after 12 months.
- nvx_analytics_id: a pseudonymous identifier that lets us count unique visitors rather than raw page views. 12 months.
- nvx_session_path: records the order of pages within a single visit so we can see where a flow breaks. 30 minutes of inactivity.
- nvx_feature_flag: records which variant of an A/B test you saw so results are measured correctly. 90 days.
- nvx_perf: samples page load timing and script errors. 7 days.
05Marketing Cookies
Marketing cookies measure whether our advertising and content actually reach the people it is meant for. They record that you arrived from a particular campaign, and whether you later booked a demo or downloaded a report. They are optional and off until you accept them.
Where we run recruitment advertising or company advertising on professional platforms such as LinkedIn or Indeed, those platforms may set their own cookies through conversion tags on our pages once you accept this category. Those cookies are governed by the platform's own policies, which we link from the preference center.
We do not sell personal data and we do not share it for cross-context behavioral advertising as those terms are defined by the CCPA. Declining marketing cookies does not reduce anything you can do on the site.
- nvx_campaign: records the campaign, source, and medium that brought you to the site. 90 days.
- nvx_attrib: links a demo request or content download back to the campaign that led to it. 90 days.
- Third party advertising and conversion tags from LinkedIn and Indeed, set only after you accept marketing cookies, with lifetimes controlled by those platforms.
06Cookies on Candidate-Facing Pages
Interview, screening, and application pages are held to a stricter standard than our marketing site. On those pages we set only strictly necessary cookies plus the accessibility preference cookie. No analytics, no marketing, no third party tags.
If you are a candidate, the only browser storage in play is what keeps your session alive, protects the form, and preserves your interview progress if your connection drops. What happens to your interview recording, transcript, and scores is covered in the Privacy Policy, not here.
Employers using Novexhire cannot add their own tracking scripts to candidate-facing interview pages hosted by us.
07How to Control Cookies
The quickest route is our preference center. Select "Cookie settings" in the footer of any page on novexhire.com, switch categories on or off, and save. Your choice is stored in the nvx_consent cookie and applies across the site on that browser. We ask again after 12 months, and sooner if we introduce a materially new category.
In the European Economic Area, the United Kingdom, and Switzerland, non-essential cookies stay off until you actively accept them. Rejecting is a single click, no harder than accepting. Elsewhere we honor the same defaults, because keeping one behavior is simpler than maintaining two.
You can also control cookies in your browser. Every major browser lets you view stored cookies, delete them, block third party cookies, or block all cookies for a site. Clearing cookies removes the nvx_consent record too, so the banner will reappear on your next visit. Blocking all cookies will prevent you from signing in to a Novexhire workspace.
- Chrome: Settings, then Privacy and security, then Third-party cookies and Site data.
- Safari: Settings, then Privacy, including Prevent cross-site tracking.
- Firefox: Settings, then Privacy and Security, then Cookies and Site Data.
- Edge: Settings, then Cookies and site permissions.
- Mobile browsers offer the same controls under Settings, usually within a Privacy section.
08Do Not Track and Global Privacy Control
There is still no common industry standard for how a site should respond to a browser Do Not Track signal, so like most operators we do not change behavior based on it alone. We would rather tell you that plainly than imply a protection we do not deliver.
We do honor the Global Privacy Control signal. When your browser or extension sends GPC, we treat it as an opt out of analytics and marketing cookies and as a valid opt out of sale and sharing under the CCPA and comparable state laws, applied to that browser automatically without any further action from you.
If you have a Novexhire account and set your preferences while signed in, we apply those preferences to your account as well as to the browser, so they carry across the devices you sign in from.
09Third Party Content Embedded on Our Site
Some pages embed content hosted elsewhere, such as a product video, an event registration form, or a webinar player. That content can set its own cookies when it loads. We block these embeds behind a click-to-load placeholder until you accept the relevant category, so nothing third party runs before you choose.
Links from our site to external destinations, including job boards and partner sites, lead to services with their own cookie practices. This policy stops at our domain, so read theirs when you get there.
10Changes and How to Reach Us
We review this policy at least once a year and whenever we add or remove a cookie. Material changes are posted here with a new effective date, and we re-prompt for consent where the change introduces a new purpose. The effective date at the top of the page always reflects the current version.
